PRIVACY PROTECTION STATEMENT
Effective
January 1, 2004
Privacy
of personal information is an important value for the Craft Council of
British Columbia (CCBC). The CCBC is committed to respecting the
confidentiality and privacy of personal information provided by its
members, customers, suppliers, volunteers and employees. The CCBC has
adopted the privacy principles set out in the British Columbia Personal
Information Protection Act (BCPIPA) as may come into force from time to
time. CCBC will collect, use and disclose personal information
responsibly and only for such purposes and to such extent as is
necessary to provide services.
This document describes CCBC privacy policies.
Why
talk about privacy?
The BC Personal Information Protection Act, obliges private-sector
organizations to take responsibility for the personal information they
hold. The CCBC Privacy Officer, a member of the Board of Directors, is
responsible for ensuring the Association is compliant with the Act, and
is the contact point for all public enquiries. Effective January 2004,
until further notice, the CCBC Privacy Officer is the person holding
the position of Treasurer. Contact information can be obtained through
CCBC offices.
What
is personal information?
The CCBC defines personal information as being all recorded information
about an identifiable individual. (e.g. name, address, and phone
number). The CCBC holds only the information necessary to provide
identified services to its members and customers.
What personal information does the CCBC have about me and how is it
used?
The CCBC collects the minimum personal information needed to track
membership, provide the services requested, run the organization, and
generally fulfill the needs of its members and customers. For example,
the CCBC may be sending newsletters and calls for entry to artist
members, looking for volunteers to help with projects, or shipping
merchandise purchased over the phone.
Consent
Statement
By way of membership in the CCBC and providing the required personal
information requested by the Association to attain designated
membership, you consent to the purposes and uses outlined in this
document for which the CCBC collects and/or uses your personal
Information.
Who
sees the personal information I give to the CCBC?
The CCBC staff, some volunteers, and members of the Board of Directors
have access to personal information. Under the Act we may give limited
contact information to other organizations/individuals if there is a
CCBC related need and they agree, in writing, to abide by our privacy
policy. Such would be the case where we pay a publisher to mail out our
newsletter and supply our membership list only for that purpose and for
that period of time. Under the Act, we need your permission to disclose
information to anyone for any purpose other than the services you have
requested. Membership and renewal forms explicitly ask for this
permission from you. However, the Act says that we can legally make
some assumptions about your intentions simply because you joined this
Association, such as your interest in craft. Under no circumstance will
the CCBC ever provide personal information to any external party for
commercial purposes.
Can
I review the information the CCBC has on file about me?
Yes, we are happy to provide you with access to the information we have
on file - the information you supplied to us. Please contact the CCBC
and arrange, through the Privacy Officer, for access to your data. For
security purposes, we will need to confirm your identity and ask that
your request be made in writing. If you believe there is an error in
the information, you have the right to ask for it to be corrected. We
may ask you to provide documentation that our files are incorrect.
For
how long will you keep my information and how will you destroy it?
The CCBC maintains your information in perpetuity, for research and
statistical purposes, unless you notify us, in writing, to destroy it.
We destroy paper files containing information by shredding. We destroy
electronic information by deleting the files from all systems and
storage devices.
How
protected is the personal information I give to the CCBC?
Your risk is negligible. Standard lock and key, password and firewall
security measures are taken to protect all information. The CCBC
understands the importance of protecting your personal information. For
that reason, we have taken the following steps;
· Paper information is either secured in a locked or
restricted area at all times.
· Membership database is password protected.
· Information databases are not accessible through the
Internet.
· Staff are trained to collect, use and disclose personal
information only as necessary to fulfill their duties and in accordance
with our privacy policy
· External consultants and agencies with access to personal
information must provide us with the appropriate privacy assurances in
writing.
